The “Photos” tab lists the photos and files attached to submitted reports without opening each report. This article covers switching the grouping, filtering by period and reporter, and opening the original report.
Steps
- Open the “Photos” tab. Attached photos are listed from the newest date.
- Switch the grouping between “By date” and “By reporter”.
- Select a photo to enlarge it. “Taken at” and “View this report” appear below it; “View this report” opens the original, and the × at the top right closes the photo.
- For videos and documents, switch to “Files” on the tab at the top. Selecting a file name starts the download.
- To narrow, set the reporter box (it reads “Everyone” at first) and the two date boxes, then select “Apply”. “Next page” loads more.
Once only the attachments matching your conditions are listed, you are done.
If it does not work
- Nothing is listed — “No reports with photos yet.” means no submitted report carries a photo. Drafts are never listed.
- “Taken at” is missing — it is hidden while “Photo taken-at timestamps” is off under “Features” in “Settings”, and also when the photo itself records no timestamp.
- The filter boxes are missing — they appear only once the attachments no longer fit one page, that is, once “Next page” appears.
- Photos from teams you do not handle — managers see only their own teams' reports. Check assignments in Set roles and teams.
FAQ
- Can anyone download a file? — “Files are stored privately. Only members of your organization with viewing permission can download them.”
- Can I download photos in bulk? — No. Open the original with “View this report” and check them one by one.
- Can I change the order? — There are two: “By date” and “By reporter”.
- How far back can I look? — There is no limit. “Next page” reaches the oldest attachments.
