Search past reports and save conditions

Members use the “History” tab and admins and managers the “Search” tab to look through the text of submitted reports and the comments on them. This article covers searching and saving the conditions you use often.

1. Search reports by keyword

1. Open the “History” tab (“Search” for admins and managers) and type into “Keywords (space-separated to narrow)”.
2. Select “Search”. Matches are listed newest first. A space between words keeps only reports containing all of them.
3. The period can be 7, 30 or 90 days (30 at first). Admins and managers pick the writer in the box that reads “All members”, and set it back for everyone.
4. A result card carries “Show full text”. Select the card to open the full text in place; the label becomes “Collapse”, and selecting again closes it.
5. A report matched through a comment is marked “Matched in comments”. “View comment” opens it with that comment showing.

You are done once the report you wanted is listed.

2. Save the conditions you use often

Caution: Deleting a saved search removes it from the list. “Undo” straight afterwards brings it back, but not once you leave the screen.

1. Search with the keywords, period and member you want.
2. Select “Save this search” below the box, enter a name, then select “Save”. “Cancel” stops.
3. Saved searches line up as named chips; one press repeats them. You can keep 10.
4. Remove one with the × at the right of its chip.

The named chip below the box means it is saved.

If it does not work

• The report will not appear — widen the period to 90 days, or cut to one word. Drafts and unsubmitted reports are never searched.
• It says you cannot save — the limit is 10. Delete one and select “Save this search” again.
• Other people's reports are missing — members search only their own. Team-wide search needs a manager role.
• You want photos only — attachments are browsed on the “Photos” tab. See Browse photos and files.

FAQ

• How far does search reach? — The text of submitted reports and their comments.
• Is a 30-day saved search always recent? — Yes. The period is stored relative to the day you run it.
• Can I save without a name? — A name is required, but the keyword is filled in, so “Save” works as is.
• Can I comment from the results? — Yes, open it with “View comment” and comment there.
