A submitted report can be opened in a paper layout and printed or saved as a PDF. For a general contractor or client who has no account, you can issue a read-only share link. This article covers both, and how to revoke a link.

1. Print or save as PDF

  1. On the “Feed”, select “PDF” on a report card. The paper layout opens in another tab.
  2. At the top of the screen, choose “Standard” or “QC-oriented” to set the order of the sheet.
  3. Select “Print / Save as PDF”. Your device's print dialog opens for paper or PDF.
  4. The sheet carries “Prepared by (signature)” and “Reviewed by (signature)”. On an approved report, the approver's name and the approval time appear in the reviewer field.

2. Issue a share link for people outside

Caution: Anyone who knows the share link can read that report without signing in. Confirm who you are giving it to before you create it.

  1. In “Share link” on the sheet, write who it is for in “Note (optional)”, then select “Create link”.
  2. When “Link created. This URL is shown only now — copy it to share.” appears, select “Copy” and give the URL to the recipient. It is shown only once.
  3. Issued links stay in the list. When one is no longer needed, select “Revoke” and answer the confirmation.
  4. When that link shows “Revoked”, you are done.

Caution: A revoked link cannot be restored. To share again, create a new link.

If it does not work

  • “PDF” does not appear on the report card — “Print/PDF & external share links” is off in “Features” under “Notifications & org defaults” in “Manage”. An admin or a manager can turn it on.
  • A message says the share link could not be created — wait a moment and select “Create link” again.
  • You did not keep the URL — it cannot be shown again. Revoke that link and create a new one.

FAQ

  • Do mood check-ins appear on the shared sheet? — No. Mood is not part of the report body, so it is never printed or shared.
  • Does turning the feature off stop links already issued? — No. Use “Revoke all issued links” in “Notifications & org defaults” to stop them all at once.
  • Can writers print their own report? — Yes. After submitting, select “Open as print / PDF”.
  • What does “QC-oriented” change? — Only the order of fields on the sheet. The report content is the same.
