Register the correct spelling of site, customer and product names, and AI writes them that way when it hears the same sound. This article covers both dictionaries and how to add and remove words.

1. Register a word

The dictionary is “Voice-entry spelling dictionary” in “Notifications & org defaults” under “Manage”, split into “Company-wide” and one per team. Only admins edit “Company-wide”; team managers and admins edit team dictionaries.

One dictionary holds 20 words of up to 15 characters (30 if only letters and digits); register just the part people say. Voice entry uses “Company-wide” plus your own team's dictionary, up to 40 words.

  1. Open “Notifications & org defaults” and go to “Voice-entry spelling dictionary”.
  2. Type a company-wide word into “Word to register” under “Company-wide” and press add.
  3. For a site- or client-specific word, use “Word to register” in that team's dictionary.
  4. When “Added to the dictionary. It applies from the next voice entry.” appears, you are done.

Tip: Register only words that get misheard. Words nobody says can pull similar sounds to the wrong spelling.

2. Remove a word you no longer use

Remove unused words with the button beside them.

Caution: After removal, voice entry uses the original spelling again. Submitted reports do not change.

  1. Find the dictionary holding the word.
  2. Press the button beside that word.
  3. When “Removed from the dictionary.” appears, you are done.

If it does not work

  • “That word is already registered.” appears — put it in another dictionary instead.
  • No input box, plus a limit notice — that dictionary holds 20 words. Remove one first.
  • No input box under “Company-wide” — only admins edit it.

FAQ

  • Where do registered words apply? — Only to the transcript and field sorting, not to summaries or translations.
  • Are they sent to AI? — Yes, with your audio, to the same place as voice entry.
  • What if we have no teams yet? — Use “Company-wide”. Team dictionaries appear when you create a team.
  • Does it apply straight away? — From the next voice entry, not the recording in progress.
