Report Sign-Off, Print/PDF, and External Share Links
Sign-Off (Approval)
- Reviewers (managers and admins) can approve a submitted report from the feed with a single tap on "Approve".
- Once approved, the report shows an approved badge and the reviewer's name. That name also appears in the reviewer field when the report is opened in print/PDF or share view.
- Approval can be undone with "Undo approval". Only the reviewer who approved it, or an admin, can undo it.
- If the author resubmits an already-approved report, the approval is automatically cleared. Review the new content and approve it again if needed.
- This feature is not shown to members. Only managers and admins can approve reports.
Print / Save as PDF
- Open a submitted report and switch to the paper-layout view.
- Choose "Print / Save as PDF" to print it or save it as a PDF through your browser's print function.
- If the report has been approved (signed off), the reviewer field on the printout shows the reviewer's name and the approval date/time.
The printed layout includes signature fields for the preparer and the reviewer, so it can be used as-is for on-site records or documents shared with business partners.
External Share Links
- Managers and admins can issue a read-only share link. This is useful when you want to show a report to someone outside the app — such as a general contractor or client — who doesn't have an account.
- Anyone with the link can open the report read-only, without signing in.
- Selecting "Create link" displays a URL. This URL is shown only once at that moment, so copy and share it right away.
- Issued links remain listed and can be disabled at any time with "Revoke".
- Mood check-ins are never shown on a shared report. Only the report content and approval information are visible.
Turning Features On/Off
- Sign-off, print/PDF, and external share links can each be turned on or off per organization from the "Features" section in Settings. All three are on by default.
- If an administrator has turned a feature off in "Features", its buttons and displays disappear from the screen. Turning a feature off never deletes existing data — turning it back on brings the displays back.
