Reminder Emails, Morning Digest and the Settings Screen

Overview of the Settings Screen

The "Settings" screen (titled "Notification settings") has the following sections. Members open it from the "Settings" tab; managers and admins can also open it from "Notifications & org defaults" on the "Manage" tab. Sections limited to managers and admins are marked below.

Reminder Emails for Missing Submissions

  • Members who haven't submitted by their deadline automatically get a reminder email — no manual follow-up needed.
  • Reminders are never sent to people marked as off, or on non-business days.
  • The default deadline is set at the organization level (17:00 by default), and managers and admins can change it in 15-minute increments from the "Settings" screen.

Morning Digest

  • Each morning (08:00 by default), managers get a summary of the previous business day's submissions. On Monday mornings, this covers Friday.

Personal Settings

  • In "Reminder emails to me" on the "Settings" screen, each member can override their own deadline or turn off reminder emails (opt out).
  • The same notification is never sent more than once per person per day.

Language

  • In the "Language" section of the "Settings" screen, you can switch between 日本語 (Japanese) and English. The display updates immediately, and notification emails also arrive in this language.

Features

  • Managers and admins can turn individual features on or off in "Features" to match how their team works. Everything is on by default.
  • "Photo taken-at timestamps": shows the capture date/time recorded in photos on reports and printouts (for evidence and record-keeping).
  • "Report sign-off": reviewers approve a report with one tap, and the reviewer's name appears on printouts and shared copies.
  • "Print/PDF & external share links": print or save reports as PDF in a paper layout, and issue read-only links for outside parties (GCs, owners, and the like).
  • Turning a feature off never deletes data — it just hides the related buttons and displays. Turning it back on brings everything back.

Team Wall

  • Managers and admins can choose how widely members can view each other's reports in "Team wall".
  • The options are "Off" (as before — reports are visible only to the author and managers), "Share within team" (members of the same team can view each other's reports), and "Share company-wide" (everyone in the company can view each other's reports).
  • When enabled, affected members get a "Team wall" tab in the navigation where they can comment and react.

Filling & Viewing Settings

  • When managers and admins turn on "Filling & viewing settings", the Edit template screen gains new controls for enforcing entry order and pinning selected fields when viewing. This is meant for inspection- and checklist-style workflows.

Reactions

  • The "Reactions" section lets you register custom image reaction stamps in addition to the four standard ones.
  • Set a display name and an image (cropped to a centered square) to register a stamp — it then appears as a reaction button on the Feed and the Team wall.
  • There's a limit on how many custom stamps you can register; once you hit it, delete an existing stamp before adding a new one. Deleting a stamp doesn't erase past reactions — they just stop being displayed.

PDF Email Distribution

  • "PDF email distribution" lets you set up collecting the previous business day's submitted reports each morning as "pending distribution".
  • Only reports a manager reviews and approves get emailed as PDFs to the addresses you specify (nothing is sent automatically). For detailed steps, see the separate manual "PDF Report Distribution by Email (Approve & Send)".

If emails aren't arriving, check your spam folder and your email allow-list settings. If they still don't arrive, please contact support.
